- Establish the Purpose: Let participants know why they have been chosen, and invite them to the Workshop with the date, location and necessary preparation. Clearly communicate the objectives and outcomes of the workshop to the participants. Explain why their contributions are essential to the development of the Plan. Help each participant connect their role and responsibilities to the overall strategy. Highlight how their expertise and contributions are valued and integral to the success of the Strategic Plan. This helps everyone to have ownership.
- Provide Context: When preparing for the Strategic Planning Workshop, encourage participants to consider the future of the organisation including external factors such as industry, market trends, and competitive landscape. Offsite may seem like an additional unwanted cost, but think of it as an investment to have some headspace away from the distractions of the day-to-day. Consider factors such as space, seating arrangements, equipment, and amenities.
- Create a Conducive Environment: Set up the physical space to encourage active participation and engagement. The ideal environment has plenty of room for activities, comfortable furniture, consistent temperature, good air quality and natural light.
- Foster a Positive Atmosphere: Your facilitator will ensure that participants feel comfortable, respected, and motivated to contribute. It is a safe space to have robust conversations about the future. Open communication, active listening, and constructive feedback is encouraged.

- Implementation: To make the Strategic Plan practical and immediately actionable, key projects are documented in an Implementation Plan, with team leads assigned and start dates nominated. Following this, an internal launch with the whole team can get everyone on-board and excited about the journey.
